Stop losing enquiries between the form and the phone.
CRM implementation
HubSpot built and configured properly for practices and multi-site groups, so every enquiry is captured, routed, followed up and measurable.
The leak nobody measures
Practices spend on getting the phone to ring, then lose a meaningful share of those enquiries after they arrive. The form that goes to an inbox nobody watches. The callback that happens two days later. The enquiry handled well by a receptionist who then leaves.
None of it shows up in a marketing report, because marketing did its job. The enquiry arrived.
What we build
One place every enquiry lands, routed to a person within a minute, with follow-up that happens whether or not someone remembers.
Then reporting that runs from enquiry through to booked patient, reconciled against your practice management system, so the cost of acquiring a patient is a number rather than an estimate.
What you get
Included in every engagement
-
Every enquiry captured in one place
Forms, phone, email, chat and booking platform, landing in a single record rather than four inboxes and a notepad.
-
Routing and speed to lead
An enquiry reaching the right person within a minute, because response time is the largest single predictor of whether it converts.
-
Consent handled correctly
Marketing consent captured, stored and enforced, so who you may contact is a property on the record rather than a memory.
-
Clean data
Deduplication, lifecycle stages and pipeline structure that match how you actually work, set up once rather than accreting.
-
Reporting that reflects reality
Enquiry to booking to patient, with the numbers reconciled against your practice management system.
How it runs
The process
- 01
Map the real process
How enquiries actually arrive and what actually happens to them, which is rarely what the process document says.
- 02
Build
Objects, properties, pipelines, forms, routing and automation, configured to that map.
- 03
Migrate carefully
Existing data deduplicated and consent-classified before import. This is where most CRM projects quietly fail.
- 04
Hand over
Documentation and a walkthrough, so the system does not depend on us.

CRM implementation, answered
Why HubSpot rather than something else?
Mostly because it does the whole job in one place, from form capture through to attribution reporting, without the integration layer that usually breaks. We are also candid that we know it deeply, which means you get a build that uses it properly rather than a generic configuration.
Can you clean up a CRM we have already made a mess of?
Yes, and it is a large share of what we do. Duplicate records, deals stuck in the wrong stage, imported contacts with no consent basis and pipelines nobody trusts. The cleanup is usually more valuable than any new automation on top of it.
How do you handle patient privacy?
A marketing CRM is not a clinical system and should never hold clinical information. We keep it to enquiry and contact data, with consent recorded against each record. Where a practice has been storing things it should not, we say so.
What if we already have a CRM?
We will tell you if it is fit for purpose. Migrating a CRM is disruptive and is not worth doing because a new one is marginally nicer. It is worth doing when the current one is losing enquiries.
